Microsoft 365 is the incumbent for companies that run on Outlook, Word and Excel. The mail stack — Exchange Online with shared mailboxes, rules, transport policies and journaling — remains the most feature-complete of any hosted provider, and its integration with Teams, SharePoint and Entra ID (Azure AD) gives large orgs a single identity fabric across email, files and apps. Strengths. Outlook’s client experience is unmatched for power users: powerful search, rules, categories, offline mode. Compliance tooling (retention policies, eDiscovery, audit logs) leads the field — a decisive factor in regulated industries. Licensing models are flexible; you can buy mail-only (Business Basic), add apps incrementally, or jump to Enterprise agreements. Weaknesses. The UI is heavier and less consistent than Gmail’s; webmail trails the desktop Outlook client noticeably. Per-user mail storage is capped by plan and cannot be expanded without changing tier — teams that accumulate large attachments outgrow it. Exchange-specific quirks (mailbox plans, licensing tiers) make cost modeling more complex than a flat price list. Pricing. Current entry pricing, free tier and storage are shown in the verified specifications panel above — read from the vendor’s own pricing page, never copied between languages. Verdict for v1: choose Microsoft 365 when your team lives in Office, needs Exchange-grade compliance, or already has an IT team that speaks PowerShell/Entra. It costs more to administer than Google Workspace — budget for that.
