How we verify data
Every number on this site is read from the vendor's own pricing page. We do not use G2, Capterra, TrustRadius or similar aggregators — they are frequently out of date and are themselves often machine-generated.
When a page cannot be read — for example when prices are rendered by JavaScript or only available on request — we mark the entry as unverified instead of filling in a plausible number. Entries with an unverified price say so on the page.
The billing model matters more than the number. We record whether a price is per user, per mailbox, per account or per employee, and whether it is billed monthly or annually. Several vendors price per account, which makes per-seat comparisons meaningless.
A verification date is shown on every provider page. Prices change; if a page has not been re-checked recently, treat it as a starting point and confirm on the vendor's own site.
Verified capability score
Each provider is scored 0-10 across five criteria worth 0-2 each. Every point links to a page on the vendor's own domain; anything we could not point at is scored at the lower band, never guessed.
This measures documented capability, not usability or value for money. A product can score low here and still be the right choice: HEY scores 2 because it offers no IMAP, no end-to-end encryption and no admin integrations - deliberate product decisions, not defects.
Independence: commission rates are not an input to the score. Every provider is scored against the same five criteria from one shared data file, and whether a link on this site is an affiliate link changes nothing in it.
- Open standards (IMAP / SMTP / CalDAV)
- 2 = IMAP + SMTP + CalDAV/CardDAV all documented - 1 = IMAP + SMTP only - 0 = no standard protocol
- Two-factor authentication
- 2 = TOTP or a hardware security key - 1 = SMS or app-push only - 0 = none documented
- End-to-end encryption
- 2 = end-to-end by default - 1 = opt-in or manual PGP/S-MIME - 0 = transport TLS only
- Data residency choice
- 2 = the customer chooses the region - 1 = one fixed, documented region - 0 = not documented
- Admin & integration (SSO, audit log, API)
- 2 = SSO + audit log + public API all documented - 1 = one or two of the three - 0 = none
Confidence levels
Each provider carries one of two levels, shown under its specification table:
- High confidence
- Read directly from the vendor's own pricing page
- Medium confidence
- Partly unverified — treat as indicative
Reporting an error
If a figure on this site is wrong, write to corrections@workmail.eu.org with the page address and the correct value. Corrections are made in the shared data file and appear in all eight languages at once. When a vendor changes its prices, the verification date on the affected pages is updated.
